What we collect
We process meeting recordings, transcripts, and deal metadata that your reps generate during normal sales activity. This includes conversation text, identified action items, and pipeline stage updates. We do not collect payment information or sensitive personal data beyond what is naturally present in your sales calls.
Subprocessors
We rely on a small set of third-party providers to deliver the service: OpenAI and Mistral for language-model inference, Google Auth for authentication, and Cloudflare for network security and delivery. All providers are bound by data-processing agreements that match our privacy standards.
Data retention
Raw audio files are stored for 7 days and then permanently deleted. Transcripts and deal insights are retained for as long as you have an active subscription. After cancellation, you have 30 days to export your data. After that grace period, all remaining data is permanently deleted from our systems.
Phone call recording
Q-Sales integrates with your phone system to capture sales calls the same way it captures video meetings. Recordings are only made when your account is configured to do so, and jurisdiction-appropriate consent prompts (one-party or two-party notice) are played automatically before capture begins. Raw call audio follows the same 7-day retention as meeting audio; only the transcript and structured deal insights are kept longer. Reps and admins can exclude specific numbers or delete an individual call at any time.
Your GDPR rights
You have the right to access, correct, restrict processing, and request deletion of your personal data. You can export your full dataset at any time from your account. To exercise any right, or to ask questions about how we handle data, email privacy@qsales.com.
Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We do not train AI models on your data. We do not share your customer conversations with third parties for marketing or research. Access to production systems is limited to senior engineers and logged continuously.
How to request deletion
Send a deletion request to privacy@qsales.com with the email address associated with your account. We will confirm receipt within 24 hours and complete the erasure within 30 days. If you cancel your subscription, you can also trigger a full data export and deletion from your account settings.
